Tools to deliver commitments

Many sustainability leads struggle to engage people across their organisations. Engagement takes time and effort, both for those trying to communicate, and employees who are focused on their day-to-day workload. By listening to its network, OckiPro has developed tools to help focus on the right priorities, identify exactly what is needed, and kick-start programmes. Become an OckiPro member to access these tools as well as our development pipeline, ensuring you get exactly what you need to accelerate engagement.

The sustainability engagement diagnostic

Use it to systemise and track your engagement strategy

The sustainability engagement diagnostic tool (prototype) is a free-to-use questionnaire and assessment designed to ‘sense check’ a sustainability engagement strategy or initiative early on, to make sure the right issues have been prioritised before engagement activities start.

It provides an overview of organisations’ engagement strategy, working through planning, preparing, acting, embedding and measuring capabilities. As well as providing context for individual organisations, the assessment  can be used with senior management to improve buy-in.

Over time use of the diagnostic will show how to evolve your sustainability engagement plan. In addition, data will be anonymised to enable OckiPro to offer benchmarking to organisations with level 3 leader membership.

The diagnostic prototype includes tailored questions to assess:

  • your organisation type, so we can contextualise your responses and create benchmarks;

  • the current status of sustainability in your organisation, providing more context to your responses; and

  • your organisation’s capabilities in terms of planning, preparing, acting, embedding and measuring employee engagement in sustainability.

What our network said about the diagnostic

“Different departments could complete the diagnostic to give us an overall view of the business, plus a 360 degree view of our engagement activities. This would help HR to get a picture of where different departments are on their sustainability journeys, and use the outcomes to fire up those that are not performing so well with evidence-based actions of those that are leading the way,” Head of responsible business, Financial services

“Benchmarking would enable us to check we are where we think we are,” ESG lead, financial information business.

“The tool responds to the need to raise awareness within organisations – many still do not fully understand all the areas where they could improve sustainability performance,” Sustainability lead, marketing business. Sustainability lead, marketing agency

“Using the diagnostic results – especially if we can demonstrate improvement over time, would be valuable in terms of attracting new talent. We could be held accountable to our promises and demonstrate that,” Sustainability lead, marketing business.

The Employee engagement survey

Use it to gauge what people know and want to know

Getting a picture of what your people already know about sustainability and what they are passionate about will help you develop a better engagement programme, and track progress over time.

The template questionnaire can be used as the basis of a dedicated sustainability engagement survey, or incorporated into wider annual employee engagement research, or alongside an employee survey on commuting and home working to inform carbon tracking, for example.

The survey covers four core areas:

  • an organisation’s sustainability credentials.

  • employee involvement in sustainability.

  • employee familiarity with key sustainability terms; and

  • importance of sustainability to employees.

In line with many employee engagement assessments, such as the Gallup Q12 survey, the questions are based on a 5-point scale from strongly disagree to strongly agree. Results can be translated into a score out of 5 (based on ‘strongly disagree’ = 1, ‘disagree’ = 2, and so on) to create a heatmap. OckiPro provides advice on how to interpret and act on survey results.

Self-service use of the tool will be part of OckiPro’s level 1 practitioner membership. If organisations want OckiPro to carry out their employee surveys, they need to be level 2 or 3 (champion or leader) levels.

What our network says about the Employee engagement survey

“A survey is a great way to involve colleagues and make them part of the journey; it can help to rebuild and reinforce a culture. People feel valued if they are involved, especially if it is from the beginning and you can take them on a journey where they take action and see the impacts,” head of responsible business financial services organisation.

“The next big bit of work for us is engaging our ’silent’ staff, who don’t respond to surveys or join in the discussion,” Head of responsible business, financial services organisation.

The Employee engagement planner

Use it to kick start your engagement process

Engagement plans are often buried in overall work to implement sustainability strategies and initiatives. Make sure your scheme sees the light of day by creating your own engagement planner from our template.

The Engagement project planner template helps you to organise the information gathered during planning and preparing phases, and to build out and track your employee engagement programme.

It will help you to see:

  • what your overall roll-out plan looks like;

  • what the stages are;

  • priority employee groups;

  • what materials you need to create;

  • how you keep materials accurate, balanced and up to date and when; and

  • how you can track and report progress, demonstrating success to senior teams, and embedding and learning lessons as you go forward.

The tool includes a list of actions that you can select to add to your planner, and links to useful resources and insights to support the journey.

The tool is part of OckiPro’s level 1 practitioner membership service.

What our network said about the Employee engagement planner

A big challenge is to get HR on board and start thinking about powerful levers. For example if you can link sustainability to your performance management frameworks frameworks, you get a whole different conversation in terms of getting people involved. This takes serious planning and preparation.” sustainability lead, legal firm

Everyone’s very time poor. That is something sustainability leads have to work with. But if you can understand what makes people busy and help them free up time, it all helps. This could be worksheets, or it could be joint projects around the cost of carbon emissions from existing operations,” sustainability lead, legal firm

New tools – what’s in the pipeline

OckiPro membership puts you at the heart of our development  pipeline

The challenge of what each function needs to do to address sustainability targets and commitments was discussed extensively during OckiPro’s market research and roundtable events. As a result, we have started to develop a Sustainability Navigator that maps the United Nations sustainable development goals across different organisation types and functions. The aim is to provide a view of which organisations and job functions are key to driving changes that will be most impactful in achieving progress across all the sustainability goals.

As we continue to host more roundtables and workshops, we will continue to respond to the needs and challenges faced by our members with new tools, insights and events.

New tools – what organisations think

“Sustainability is about changing the behaviour of our people. We want a tool that connects the issues that are material to our organisation and our people’s roles,” vp marketing, global software company

“Distilling down the relevance of sustainability to different businesses and functions is one of the challenges we face,” Head of client relations, creative agency
